Working With Us: Here’s What Happens After You Reach Out
A step-by-step walkthrough of what happens after you contact Athena Productions, from the first conversation to project delivery and beyond.
You may have seen us on LinkedIn, perhaps you've read a few of our articles or watched our YouTube videos , and now you're considering getting in touch about your project, whether you need concept art, UI/UX design or 3D art.
Reaching out can feel like a big step, and we don’t take that lightly. Whether you came in with a fully-formed plan or just a “hey, I think I need help,” you’re exactly where you need to be.
Here’s a peek behind the curtain at what happens next when you get in touch with our team at Athena Productions!
1. We Say Hello (Like Real Humans)
There are no robotic auto-responses or copy-paste replies here - just real humans, with real personalities!
We get back in touch within 24-hours, and we might ask a few questions, just so that we can really understand what you’re looking for. Think of it as the “getting to know you” phase. There is no pressure to do anything.
If it isn't a right fit for us, we will let you know and we'll try to help to recommend some trusted partners we have worked with before.
2. Let’s Meet (Virtually)!
If it feels like a good fit we'll organize to have an introductory call at a time that suits you. Being able to put a face to a name is a fantastic way to start off the relationship. It can be as quick or as long as you like - whether it is a simple hello, or whether it is to brief us about your video game.
There is no pressure or selling tactics here, we value our relationship with our clients above all else, so making sure that everyone likes one another, and the cultures fit is very important to the outcome.
It's also a great way for you to be able to gauge how we work and ask any questions you may have - whether it is as simple as 'what projects have you worked on' or more process related - we're happy to answer!
Here's some of what we'll talk about:
- You tell us what you’re working on
- We share ideas, thoughts, and possibilities
- We talk about how you'd like to communicate with us e.g Slack, Microsoft Teams, Email
At the start, you may be thinking you you need X, but through the conversation, we might uncover that what you really need is X + Y (and maybe a little Z you hadn’t considered yet)!

Having a call with us is a great way for you to be able to gauge how we work and ask any questions you may have!
3. We Put Together a Plan
After we’ve wrapped our heads around the project, we’ll come back to you with a clear plan of action and a quote.
Nothing vague or mysterious - just:
- What we’ll do
- How we’ll do it
- What the budget is
- When we can start, and when we will be finished
This is a great opportunity for you to be able to ask further questions - whether over email or an extra call.
4. Take Your Time (No Pressure Here)
When you receive our quote or plan, there’s no ticking clock or pushy follow-up sequence. You can sit with it, ask questions, request tweaks and compare options, and if something doesn’t feel quite right, we’ll adjust it. If you’re unsure about something, we’ll talk it through.
The goal isn’t to rush you - it’s to make sure you feel completely comfortable moving forward and start our working relationship off on the right foot!
5. You’re In? Amazing. Let’s Go!
Once you’re happy, we’ll get everything set up and officially kick things off.
This is where contracts, and NDA's (Non-Disclosure Acts) come in. We are happy to look over your contract, or provide our own. Once all contracts and legal documentation have been signed, we will confirm start dates and get set up on your chosen communication method (Slack, Microsoft Teams or Email).
We confirm the start date, and when to expect our first hand-in (which is usually on the first day, or the second) so that you are never left wondering what's going on.

6. Communication is Key
From here on out, it’s a collaborative ride. We keep you updated, ask for your input, ask questions, and make sure everything’s moving in the right direction.
You won’t be left in the dark while we disappear for weeks. Instead, you’ll get regular updates, clear check-ins at key stages and opportunities to give feedback as we go. We believe communication it is the cornerstone of a successful and long-lasting relationship.
No disappearing acts. No confusing silence. Just steady progress and a relationship that you can count on time and again as and when you need us.
7. Finishing Up
Eventually, we reach the point where we've finished the work we have set out to do. At this stage, we're making sure that you are happy with the work or if you need any last tweaks. Once the work is approved, we will deliver final files or assets to you.
And yes - this is a bit of a milestone moment. We’ll probably be just as excited as you are!

At the end of a project, we will deliver both final images and working files so that you can use or edit them.
8. What Happens After That?
For some projects, we've wrapped up. For others, it’s just the beginning. Some clients come back for future work, others continue working with us long-term and some pop in occasionally when they need our help. There is no "right" path, just whatever works best for you and your team, and we're here to facilitate that!
